Guest List
Building a manageable guest list is crucial. Whilst some private villas typically accommodate fewer wedding guests, some villas in our portfolio could easily accommodate 200+ wedding guests. Be transparent about the maximum capacity of your chosen villa to prevent any surprises later in the process.
Accommodation
Private wedding villas will usually have between 2 and 10+ double bedrooms, with some villa estates offering additional guest accommodation for 50+ guests by utilizing other villas within their estate. In all cases, there are minimum stay requirements for wedding bookings, ranging from 2 nights during low season, 5 nights during high season and 7 nights during peak season (Christmas & New Year). High season typically runs between July to August, so booking your wedding in May, June, September or October offers low season prices without compromising on the weather. It's normal that all accommodation costs would be shared between those guests staying in the villa.
Function Fees
Private wedding villas will charge a function fee that gives you the right to hold an event in their grounds, even though you've already paid to stay there. They could also charge fees for secondary events like welcome and recovery parties, although function fee would usually be lower in these instances. A function fee is charged to cover additional work and staffing for an event, even though they're not actually involved in the event themselves. In additional to the function fee, the villa will also usually charge a banjar fee, which is a fee paid to the local community to cover additional noise and traffic in the area, security and parking.
Catering Services
Wedding caterers offer a wide range of food & beverage options, including buffet, BBQ and set menus, as well as canape services and food stalls. Drinks packages typically range from non-alcohol, non-alcohol + beer and full alcohol with (or without) wine, with package durations up to 7 continuous hours of service. Our food & beverage package prices compare favorably in price with similar packages offered by resort hotels at the luxury end, with the added bonus that the couple and their guests can bring their own bottled alcohol into the venue without being charged corkage fees.
Power & Lighting
In most cases, the power supply at a private villa will not be made available for a wedding, so a separate power supply will need to be provided to power the event, along with additional overhead and ambient lighting.
Wedding Planning & Coordination
Usually the managers of a private villa will provide the venue for the wedding only. Villa management will require you to employ the services of a qualified and approved wedding planner to pre-plan the event in detail and to have a coordination team present on the day of the wedding to manage the set-up, coordinate and manage the event and manage the breakdown after the wedding. Typically, the coordination crew would arrive mid morning to accept deliveries and stay right through to managing the clean-up in the early hours of the following morning.
Local Vendors
An experienced list of local vendors will greatly enhance your experience, including local decor & florist teams, hair & make-up, photography, videography, sound & lighting, catering and entertainment (live bands, DJ's, Balinese dancers, etc.). Local wedding planners and coordinators understand the local customs and nuances of a Bali wedding. For example, local photographers & videographers understand how lighting conditions vary during various times of the day in order to create memories that last a lifetime. Local hair & make-up vendors understand the challenges posed by high humidity and use various methods to ensure that hair & make-up remains perfect throughout the wedding.

The wedding planner should always pay close attention to logistics surrounding the wedding villa, including transportation options and guest accommodation nearby. It's also wise to consider potential weather challenges, as some villas don't have indoor options in case of rain. In such cases, a marquee might need to be considered. For wet season weddings, hiring a marquee is sometimes a mandatory item requested by villa management.
